Quick answer: The most common holiday party rentals in Toronto are extra folding chairs ($2 each), 6-foot tables ($10 each) and a few chafing dishes ($15 each) to keep the food hot. A 20-person holiday dinner usually needs about 21 chairs, 5 tables and 3 chafing dishes, which comes to about $137 in rentals before delivery. Book 2 to 3 weeks ahead for December weekends.
Holiday parties have a way of growing. You plan dinner for twelve, then the cousins are coming, then a few neighbours, and suddenly you are counting dining chairs and coming up short. Whether you are hosting Diwali, Christmas, Hanukkah, New Year’s Eve or an office party, here is what to rent, how much it costs and how to fit it all into a Toronto house, basement or condo. For everything we deliver for indoor events, see our indoor party rentals in Toronto page.

Which Holiday Party Rentals Do You Need?
Most indoor holiday parties come down to four things:
- Chairs. Plan one per guest for a sit-down dinner, plus a couple of spares. For a party where people mingle, seats for about half your guests is enough.
- Tables. One 6-foot table seats 6 to 8 people. Add 1 or 2 more for the buffet, desserts and drinks.
- Chafing dishes. If you are serving a buffet, these keep curries, roasts and rice hot for hours, so nobody eats cold food at 9 pm. Health Canada advises keeping hot food hot so it stays out of the temperature danger zone.
- Something fun. A popcorn or cotton candy machine keeps kids happy while the adults talk.

Sample Holiday Party Orders
Family holiday dinner for 20
- 21 folding chairs: $42
- 3 tables for seating and 2 for the buffet: $50
- 3 chafing dishes: $45
- Rental total: about $137
With the $2 per item delivery charge on the chairs and tables, that comes to about $189 delivered. If you have a car with the seats folded down, picking it up yourself saves you the delivery cost.
Big family gathering for 40
Diwali and Christmas dinners in a lot of Toronto families run well past 30 people. For 40 guests seated in a basement or across the main floor, plan on 42 chairs ($84), 6 tables for seating plus 3 for food and desserts ($90) and 4 chafing dishes ($60). That is about $234 in rentals.
Office holiday party for 60
Work parties are usually more standing than sitting. Seats for about half the room works well: 30 chairs ($60), 9 tables for seating, food and a bar area ($90), 4 chafing dishes ($60) and a 4 x 8 ft stage section ($150) for speeches or a DJ. That comes to about $360. For more ideas, read our post on lighting for corporate events.
How to Fit a Holiday Party Into a Toronto Home
Space is the real challenge in most Toronto houses and condos. A few things that help:
- Measure before you order. A 6-foot table is 6 feet long and about 30 inches wide. Leave about 3 feet behind each chair so people can get up without everyone shifting.
- Use the basement. Lots of hosts set up long tables end to end in the basement for dinner and keep the main floor for snacks and drinks.
- Move the couch, not the guests. Clearing one room completely for tables usually works better than squeezing a table into every corner.
- Plan the buffet line. Put the buffet against a wall with room on one side to walk past. Plates at one end, dessert and drinks somewhere else so people are not stuck in one spot.
- Tell us about condo rules. If you live in a condo, book the elevator or loading dock with your building and let us know when you order.
When Should You Book Holiday Party Rentals?
December weekends are popular for holiday parties, so we suggest booking 2 to 3 weeks ahead. If you are hosting on the Saturday closest to Christmas or on New Year’s Eve, book as early as you can. You can change the numbers later if your guest list moves. Just tell us as early as possible and we will adjust the order based on availability.
